Privacy policy

TenantClerk (“we”, “us”) is an AI assistant that answers calls and messages for rental properties. This policy explains what we collect when you contact a TenantClerk phone number or use this website, and what we do with it.
What we collect
- Your phone number, when you call or text a TenantClerk number.
- What you say or write. Calls are recorded and transcribed. You are told at the start of the call that it may be recorded. We keep the recording, the written transcript and a short summary.
- Details you give us, such as your name, your unit, the problem you are reporting, and when someone can enter.
- Basic website logs, such as IP address and browser type, kept by our hosting provider.
This website does not use advertising or tracking cookies.
How we use it
- To answer you and understand your request.
- To send your landlord or property manager a summary, the transcript and a link to the recording, so they can follow up.
- To arrange repairs and keep a record of requests for the rental unit.
- To keep the service working, secure and accurate.
We do not sell personal information, and we do not use it for advertising.
Who we share it with
- Your landlord or property manager, who receives the summary and transcript and can listen to the recording.
- Service providers that run the service for us: Twilio (phone and text), Google (the AI model that understands and answers calls), Resend (email delivery), Cloudflare (storage of recordings) and Vercel (hosting). They process information only to provide their service to us.
- Vendors, such as a plumber, when needed to fix a problem you reported. They get only what they need: the address, the problem, and how to reach you.
- Authorities, when the law requires it.
Text messaging: we do not share mobile phone numbers or text-messaging consent with third parties or affiliates for marketing or promotional purposes. See our SMS terms.
How long we keep it
Recordings, transcripts and summaries are kept for as long as they are needed to manage the rental unit and to meet legal record-keeping duties. You can ask us to delete yours, and we will unless the law requires us to keep it.
Your choices
- You can ask what information we hold about you, and ask us to correct or delete it.
- California residents have additional rights under the California Consumer Privacy Act, including the right to know, delete and correct, and the right not to be discriminated against for using those rights.
- You can stop text messages at any time by replying STOP.

Children
TenantClerk is not directed at children under 13, and we do not knowingly collect their information.
Changes
If this policy changes, we will post the new version here and update the date at the top.
